This policy is for the Novo Workshop partner app, owned and operated by Lantiex (Pty) Ltd. For the Novo customer app, see the Novo Privacy Policy. For Lantiex’s general company policy, see the Lantiex Privacy Policy. If anything conflicts for Novo Workshop, this page applies.
This Privacy Policy explains how Lantiex (Pty) Ltd (“Lantiex”, “we”, “us”, “our”) collects, uses, shares, and protects personal information when you apply to partner with Novo, use the Novo Workshop mobile application, or interact with our workshop onboarding and partner tools (together, the “Workshop App” and “Partner Services”).
Lantiex developed, owns, and controls the Novo platform. Novo is an on-demand vehicle-services marketplace in South Africa. We connect customers with independent workshops. We do not sell your personal information to anyone.
This Policy is intended to comply with the Protection of Personal Information Act 4 of 2013 (“POPIA”) and, where applicable, Apple App Store and Google Play requirements. If you do not agree with this Policy, please do not apply to partner with Novo and do not use the Workshop App.
1. Who we are

2. Scope
This Policy applies to:
- the Novo Workshop App (iOS and Android) used by approved workshop partners
- workshop onboarding and verification (including through the Workshop App, our admin dashboard, or other channels we designate)
- commission billing, job matching, live tracking, and related partner operations
It does not apply to:
- the separate Novo customer App used by motorists (see https://lantiex.com/novo/privacy-policy/)
- customers you meet through Novo once you attend their vehicle (you have your own POPIA duties for information you hold for the job)
- third-party websites or apps you open from a link we provide
By applying to partner, submitting documents, creating or using a workshop login, or using the Workshop App, you acknowledge that we will process personal information as described here.
3. Information we collect
We only collect information we need to vet partners, operate the marketplace safely, fulfil jobs, and bill commission.
3.1 Workshop profile and account
- Workshop or business name
- Login email address and account identifiers (Firebase user ID)
- Contact phone number
- Workshop address and map coordinates (latitude and longitude)
- Logo image, if you or we upload one
- Services you offer on Novo and your pricing for those services
- Online / availability status (for example whether you are accepting jobs)
- Aggregate workshop rating and review count shown to customers
- Account status (including whether quoting is blocked for unpaid commission or the account is disabled)
Passwords are handled by our authentication provider; we do not store your password in readable form.
3.2 Onboarding, KYC, and business verification
When you apply to partner or when we verify your business, we may collect:
- CIPC registration documents and company registration details
- Director, owner, or authorised representative identity documents (for example ID book, ID card, or passport copies and related details)
- Proof of address, bank confirmation, or other financial verification we request
- Names, ID numbers, and contact details of directors, owners, or signatories
- Any other documents or declarations we reasonably require to onboard partners, meet FICA or similar obligations, and prevent fraud
Some of this information is special personal information under POPIA (for example identity numbers and copies of identity documents). We collect it only for partner vetting, legal compliance, platform safety, and enforcing our Workshop Terms.
3.3 Jobs, quotes, and activity
When you use the Workshop App for jobs we store:
- incoming offers, acceptances, declines, and quotes you submit
- job status updates you send (on the way, arrived, in progress, work done)
- service type, options, notes, and location for each job
- quote amounts, payable totals, and platform commission owed on completed jobs
- timestamps and job history shown in Activity
- ratings you give to customers and ratings customers give to your workshop
3.4 Customer information shown to you for a job
To perform a job matched through Novo, the Workshop App may show you:
- customer name
- customer phone number (so you can call or message about the job)
- service location (address and coordinates)
- vehicle make, model, optional year and version, number plate, and label
- service requested and selected options
- customer notes for the job
- customer aggregate star rating (snapshot only)
You do not receive the customer’s identity number, driver’s licence details, or password through the Workshop App.
3.5 Location and live tracking
When you are en route to an accepted job, the Workshop App may publish your live location (latitude, longitude, and heading) to our systems so the customer can track you on a map. This requires location permission on your device.
We also store your workshop’s base address and coordinates for matching and navigation.
3.6 Notifications
If you allow notifications, we store a device push token (FCM) so we can send job alerts, quote updates, commission reminders, and operational messages. Job-related alerts may be sent even when you are not actively using the App.
3.7 Commission, fees, and payments to Novo
We store:
- your unpaid commission balance and payment history
- commission rate and due-limit settings applicable to your account (as configured on the platform)
- records of commission payments you make through the Fees section of the App (including references from payment processors we use now or in future)
- ledger entries for job commission accruals and adjustments
We do not collect customer card numbers or customer bank details in the Workshop App. Customers pay you directly on arrival.
3.8 Device, usage, and local preferences
- Language and App preferences stored on your device where applicable
- Whether we have prompted you to rate the Workshop App in the App Store or Play Store after a completed job
- Diagnostic information necessary to operate the App (for example error messages in server logs)
We may use analytics in future to understand Workshop App usage. If we enable analytics beyond what is described here, we will update this Policy.
3.9 Support and appeals
If you contact support@lantiex.com or appeal a suspension, we process the information you send (name, workshop name, email, explanation, and any attachments).
3.10 Information we do not collect in the workshop app
We do not collect:
- customer payment card numbers or CVV codes in the Workshop App
- customer driver’s licence or identity numbers for display to workshops
- contacts, photo library, or microphone access for unrelated purposes
- precise advertising IDs for selling your data to advertisers
4. How we collect it
- Directly from you or your authorised staff (onboarding forms, profile updates, quotes, status updates, ratings, support emails)
- From our admin team when they create or update your workshop profile
- From your device (location while en route, push token, local preferences)
- From Google Maps / Places / Directions when you navigate or we calculate routes and ETAs
- From customers and our matching systems when a job is created, quoted, tracked, or completed
- Automatically via Firebase Authentication, Realtime Database, Cloud Functions, Cloud Messaging, Remote Config, and Firebase Storage (for example workshop logos uploaded through our tools)
5. Why we use it
We use personal information to:
- review and approve (or reject) workshop applications
- verify business registration, identity, and compliance documents
- create and secure workshop logins
- match your workshop with nearby customer requests
- display your workshop name, rating, services, and pricing to customers where applicable
- let you accept jobs, submit quotes, navigate, update status, and complete work
- show customers live tracking while you are en route
- calculate, record, and collect platform commission
- block quoting when unpaid commission reaches the due limit shown in the App
- send operational notifications about jobs and fees
- display job and commission history in the App
- operate ratings and help keep the marketplace safe
- investigate fraud, fake documents, misconduct, and appeals
- comply with law, enforce our Workshop Terms, and protect Lantiex, customers, and other workshops
- improve the Workshop App and Novo platform
POPIA justifications we rely on include: entering into and performing a contract with you as a partner; consent where we ask for it (for example notifications); legitimate interests in vetting partners, preventing fraud, operating the marketplace, and collecting commission; and legal obligations (including record-keeping and FICA-related requirements where applicable).
6. We do not sell your data
We do not sell, rent, or trade personal information about workshops, staff, or customers to third parties for their own marketing or any other commercial sale of data.
7. Who we share information with
We share information only as needed to operate Novo.
7.1 Customers
When you accept and perform a job, customers may see your workshop name, phone number, rating, live location while you are en route, and job status updates you send.
7.2 Other workshops
We do not share your onboarding documents or commission balances with other workshops.
7.3 Service providers (operators)
We use operators who process data on our instructions:
- Google Firebase / Google Cloud (Authentication, Realtime Database, Cloud Functions, Cloud Messaging, Remote Config, Storage). Some processing may occur outside South Africa, including the United States (our callable functions currently run in us-central1)
- Google Maps, Places, Geocoding, and Directions, for maps, addresses, routes, and ETAs
- Payment service providers, when you pay commission through the App (now or in future)
- Apple or Google, if you use their in-app review prompts
These providers process data under their own terms and privacy notices. We require them to use it to provide their service to us, not to sell Novo partner data.
7.4 Lantiex staff and administrators
Authorised Lantiex staff and admin tools can access workshop profiles, onboarding documents, jobs, commission records, and support correspondence to run Novo, onboard partners, and handle disputes.
7.5 Legal and safety
We may disclose information if required by law, a court, or a regulator, or if we reasonably believe it is necessary to protect someone’s safety, prevent crime or fraud, or enforce our Terms.
7.6 Business transfer
If Lantiex is involved in a merger, sale, or restructuring, personal information may transfer to the successor as part of that transaction, still subject to this Policy or an equivalent policy.
8. Your duties as a receiver of customer information
When Novo shares customer personal information with you for a job, you become an operator of that information for your own purposes (performing the work and related communication).
You must:
- use it only for the job and lawful follow-up (for example warranty or dispute records)
- protect it with appropriate security
- not sell it or use it for unrelated marketing without a lawful basis under POPIA
- delete or anonymise it when you no longer need it for the job and legal record-keeping, unless you must keep it by law
If a customer contacts you directly outside Novo, their information must still be handled lawfully.
9. International transfers
The Workshop App is for use in South Africa. Some operators (including Google) store or process data outside South Africa. Where we transfer personal information abroad, we do so to provide the App, and we rely on appropriate POPIA conditions for cross-border processing, including that the recipient is subject to a law, binding corporate rules, or agreement that provides an adequate level of protection, or that the transfer is necessary to perform our contract with you.
10. Retention
We keep information only as long as needed for the purposes above, including legal, tax, commission, safety, and dispute needs.
In particular:
- onboarding and KYC documents are kept while you are an active partner and for a period afterwards as required by law, fraud prevention, and audit needs
- job history, quotes, ratings, and commission ledger entries are kept to operate the marketplace, calculate fees, and resolve disputes
- live tracking data is kept for the active job and reasonable operational logs thereafter
- push tokens are updated while you use the App on a device
- if your partnership ends, we may retain records of commission owed, paid, or disputed, and safety-related records (for example fraud or misconduct), as allowed by law
We may retain limited information after account closure where we must (for example to enforce a ban, complete an investigation, or meet a legal duty).
11. Security
We use technical and organisational measures appropriate to the sensitivity of the data, including encrypted transit, authenticated access, and access limited to those who need it.
Onboarding documents and identity copies are sensitive. You must also protect customer information on your devices and staff accounts.
No method of transmission or storage is completely secure. Please keep passwords and devices confidential.
12. Your choices and rights
You can:
- update workshop profile details shown in the App where the App allows it
- go online or offline to control availability
- allow or deny location and notifications in your device settings (some features will not work without location while en route, or without notifications for job alerts)
- pay commission through the Fees section when due
- contact support@lantiex.com about your account or a suspension appeal
Under POPIA you may request access to your personal information, correction of inaccurate information, destruction or deletion where we are no longer entitled to keep it, and object to certain processing (including direct marketing, if we send any).
To exercise these rights, email support@lantiex.com from the email on your workshop account. We may need to verify your identity or authority to act for the business. Some information must be kept for legal, commission, or safety reasons even after a deletion request.

13. Children
The Workshop App is a business product for workshops and authorised adults. It is not directed at children. Directors, owners, and users must be adults able to enter binding contracts. We do not knowingly process children’s personal information through the Workshop App.
14. Changes
We may update this Policy. The “Last updated” date will change. Material changes will be notified in the Workshop App, by email, or on https://lantiex.com/novo/workshop/privacy-policy/. Continued use after an update means you accept the revised Policy.
